These are planning figures, not automatic prices. A fixed fee is proposed where the records and scope are sufficiently defined. Extensive retrieval, travel outside greater Cape Town, translation, specialist opinion and material scope changes are separately agreed before cost is incurred.

What changes the estimate

  • Number of applications, receipt series, registers and physical locations
  • Whether testing covers every item or an agreed sample
  • Paper condition, scan legibility and the quality of existing indexes
  • Number of payment sources and ledger accounts to reconcile
  • Availability of custodians and expected factual-clearance rounds
  • Reporting deadline and whether on-site work is required

Payment and changes

The normal proposal requests a 40% commencement deposit, with the balance due on delivery of the draft report. Larger engagements may use milestone invoices. Work outside the signed scope needs written approval; it is not quietly added to an invoice.

A 30-minute initial scoping call is not charged. Tell us the period, approximate volume and records held for a realistic proposal.
